Start with a real-life situation
Two products may look alike while differing in version, connections or warranty. Your order file should specify exactly what is delivered, with which evidence and under what terms.

1. Before finalizing an order
Request exact model, datasheet version, dimensions, weight, electrical limits and included items. Separate mandatory requirements from pending confirmations. Check price, availability and delivery in the valid quotation for that order.
2. Equipment or project handover
Match model and serial numbers to the order. For projects, define as-built drawings, agreed tests, delivered settings and operator training in the contract scope. Receiving a file alone does not verify its authenticity or adequacy.
3. Maintenance and fault follow-up
Keep manufacturer guidance, inspection plans and support contacts. Record event time, error message and system conditions; do not alter protection or connections without qualified help. Support requests need model and fault details, not passwords or confidential credentials.
